Appalachia NAMA 2023 Frequently Asked Questions


PLEASE NOTE - You must be a NAMA member to attend the event. We will endeavor to update this list as we receive questions from registrants...


Q1: I need help with registration, who is available to help me?

It is OK to CC all three people, we are coordinating support during the first few days.


Q2: Is the double occupancy rate for two people?

A: The double occupancy rate is for ONE person sharing a room with another individual. The other person must also register themselves (or you can register them see below) with their own separate registration. When you register you are given the chance to tell us the name of your roommate.


Q3: How do I register multiple people?

A: Add tickets for all persons to your cart. All must have a unique email registered with our system (if all do not have emails, see Q6 & Q7). If you have not done this, skip to Q4 - complete, and then do this task. Register yourself first, using your email address that is already setup in your NAMA profile. Follow the steps and you will have the opportunity to add info for a second, third, etc, person. Register that person using their email address which is already setup in NAMA. Add any notes to us in the appropriate note field and we will review. Please read Q4 below if you don't have your partner or child's emails setup.


Q4: I am having problems registering 2 (or more) people - or - how to add a second person to your account

A: In order to register, each person must be setup in your account with their own email address! This is easy to do if you follow 5 steps:

  1. LOG OUT of Glue Up - you cannot do this if you are logged in!
  2. Go to the Shared Membership Member Application: https://app.glueup.com/membership/16761/apply/application-details/ 
  3. Put in your person's (spouse, partner or child) contact information in all the fields
  4. In the "primary email" field, put YOUR email address (then main one you use with NAMA). This will connect your new person to your new account
  5. Hit Apply (we have to approve the application, and will do so ASAP - feel free to email the support emails above and tell us to go approve you if you want it immediately)


Q5: Can I do triple occupancy?

A: We do have some rooms that that hold 3 people! Just purchase three double occupancy tickets, and indicate in your notes what you want and who the three people are. We will get you in an appropriate room. 


Q6: I don't have a second email for the spouse/children in my family, what should I do?

A: That means you cannot self-register! See Q7 below.


Q7: I am having problems and cannot self-register myself or my spouse, will you do it for me?

A: Yes, we can do it, we will create a "fake" email address for your family member to accomplish. However, we need all the relevant info for each person you want us to register! 

  1. The primary email address attached to your NAMA account
  2. The type(s) of ticket you want from those still available on the website
  3. Full contact info and full address
  4. Your t-shirt sizes
  5. Name of person you are sharing a double occupancy room with
  6. Do you have any questions/concerns we should add to your registration note for our team to be aware of?
  7. Plus, answer these questions: Do you have any problems walking around the campus and up or down small hills? do you need an ADA room? If double occupancy, do you need separate beds? Do you have any dietary restrictions? Do you agree to our cancellation policies and general polices (see Q15 and Q16).


Q8: Where can I view photos of the Kanuga accommodations?

A: You'll find photos of the room types online at: https://www.kanuga.org/conferences/accommodations/. Lodge rooms are inside the Kanuga Lake Inn. Please note bunk cabins will not be available for this event.  


Q9: Where are the nearest airports located?

A: Greenville/Spartanburg, SC (GSP) 56 miles, Asheville, NC (AVL), 14 miles, Charlotte, NC (CLT), 100 miles, Knoxville, TN (TYS) 150 miles, there is an Amtrak train station in Charlotte, NC as well.   


Q10: Do you offer free parking?

A: Yes, self-parking is available and is included in the room rate.


Q11: Are any of the Cottages / Guest Houses ADA Compliant?

A: Guest Houses are not ADA compliant, but there are 3 ADA Cottages and 10 ADA Lodge Rooms

 

Q12: Are Pets/Service Animals allowed at Kanuga?

A: We are not allowing pets at this event, only service animals.There are 6 Main Lodge service-animal-friendly rooms.

There is no charge for registered service animals with paperwork submitted to Kanuga Conference Center in advance or upon arrival but there is a charge for service animal damage/extra cleaning. Q13: What is the smoking policy at Kanuga?

A: There are designated smoking areas throughout the property. A $250 penalty fee will be collected from anyone found smoking in a non-designated area.


Q14: Can you accommodate dietary restrictions?

A: Yes, you may select vegetarian, vegan, gluten free, and other options during registration.


Q15: What is the cancellation policy?

A: Following completion of purchase, all cancellations of registration for Appalachia NAMA 2023 will be subject to a cancellation fee according to the cancellation fee schedule provided below. Cancellations must be sent to our Foray Registrar Peggy Green via email at forayregistrar@namyco.org. Please review the following cancellation timeline policies carefully:

Appalachia NAMA 2023 Cancellation Fee Schedule

Please note that, following completion of purchase, all cancellations of registration for Appalachia NAMA 2023 will be subject to a cancellation fee according to the cancellation fee schedule provided below. Cancellations must be sent to our Foray Registrar Peggy Green via email at forayregistrar@namyco.org. Please review the following cancellation timeline policies carefully:

  • Cancellations received by or before 12:00 AM (midnight) Central Time on May 31, 2023 will receive a full refund, minus a $25.00 USD cancellation fee. 
  • Cancellations received after 12:00 AM (midnight) Central Time on May 31 but by or before 12:00 AM (midnight) June 30, 2023 will receive a full refund minus a $75.00 USD cancellation fee.
  • Cancellations received after 12:00 AM (midnight) Central Time on June 30, 2023 but by or before 12:00 AM (midnight) July 15, 2023 will receive a full refund minus a $100.00 USD cancellation fee.
  • Cancellations received after 12:00 AM (midnight) Central Time on July 15, 2023 but by or before 12:00 AM (midnight) on July 30, 2023 will receive a full refund minus a $150.00 USD cancellation fee.
  • Cancellations received after 12:00 AM (midnight) Central Time on July 30, 2023 but by or before 12:00 AM (midnight) on August 15, 2023 will receive a refund totaling 50% of USD amount total of their Appalachia NAMA 2023 invoice.
  • Cancellations received after 12:00 AM (midnight) Central Time on July 30, 2023 will receive no refund and may receive a donation letter from NAMA acknowledging all event registration fees as a tax-deductible donation to NAMA under its designation by the U.S. Federal Government as a 501(c)3 charitable organization.


Q16: What is the Appalachia NAMA 2023 Attendee Conduct Agreement?

A: Attendees of Appalachia NAMA 2023 agree to treat one another and all NAMA staff, foray leaders, vendors and Kanuga staff with respect and decorum.


Additionally, attendees agree to respect the environmental, historical and social sensitivity of the area by respecting all rules put in place by foray leaders, which may vary according to different individual foray sites' stipulated rules.


It is important to note that Appalachia NAMA 2023 attendees are here to collect and study Fungi. Permits to collect Fungi have been obtained by NAMA at the generous behest of NAMA-affiliated Asheville Mushroom Club's goodwill and venerable connections built over time with various local, State of North Carolina and U.S. Federal regulatory authorities and it is vital that attendees honor the club's reputation by adhering to the stipulated collection and conduct rules.


These permits cover the collection of Fungi only and do not extend to the collection of any other wildlife, including plants and animals. Specifically, collection of medicinal plants, including Panax quinqueifolium (ginseng) is strictly prohibited and is subject to strict enforcement by regulating authorities of the State of North Carolina.


Q17: What is the cost for accompanying children?

This is an add-on to an adult ticket and includes lodging and all meals in the dining hall for children aged 4 to 12.

Children aged birth to under 4 are free.

Children over 13 are charged as adults by Kanuga.

There are half day and full day forays on Friday AND Saturday and many of the speakers and workshops will be offered twice; so those who choose to be on a foray, get a second chance for many of the lectures and workshops.


Q19: Can I purchase an extra T-Shirt?

One complimentary T-shirt is included with your registration, please include your size where requested in the regisstration process. Additional shirts will be available for purchase on site.
